Arka Acres Event Guidelines

These shared expectations protect our guests, animals, neighbors, land, and the families who will visit after you.

Check-In and Check-Out

Event access begins at 3:00 PM, and all guests, vendors, decorations, equipment, and personal belongings must be removed by 10:00 AM, unless different times are confirmed in writing.

Setup and cleanup must be completed within the reserved time. Additional time may be available for an extra charge and must be approved in advance.

Supplies and Personal Items

Guests are responsible for bringing all items needed for their event.

  • Bathroom tissue and paper towels
  • Trash bags
  • Cooking utensils, cookware, serving dishes, and food-storage containers
  • Plates, cups, napkins, and cutlery
  • Tablecloths, decorations, and event supplies
  • Ice, coolers, and drinking water, when needed
  • Cleaning supplies needed during the event

Arka Acres does not guarantee that extra supplies will be available.

Tables and Chairs

Guests are responsible for setting up the tables and chairs they plan to use.

After the event, all tables and chairs must be cleaned and returned to the same locations and arrangement in which they were found.

Tables and chairs should not be dragged across floors or left outdoors overnight.

Cleaning and Trash

Routine cleaning during the event is not included.

Any additional cleaning requested during or after the event will be charged separately.

Before leaving, guests must:

  • Remove all decorations, food, beverages, equipment, and personal belongings
  • Place all trash in securely tied trash bags and move it to the designated disposal area
  • Dispose of leftover food and items that will not be taken home
  • Clean spills immediately
  • Wipe down tables, counters, cooking areas, and other surfaces used
  • Leave bathrooms, indoor spaces, patios, yards, and parking areas clean
  • Pick up balloons, confetti, cups, bottles, food containers, and other debris

Additional cleaning, excessive trash removal, stains, damage, or items left behind may be deducted from the security deposit.

Animals and Property Safety

Guests must not feed, touch, enter animal enclosures, open gates, or interact with animals without prior permission from Arka Acres.

Children must be supervised at all times, especially near animals, ponds, fences, barns, playground areas, and farm equipment.

Guests must not climb fences, enter restricted areas, operate farm equipment, or disturb animals.

Please keep all gates closed unless instructed otherwise.

Decorations

Decorations must not damage walls, floors, furniture, trees, fences, or other property.

Nails, screws, permanent tape, glitter, confetti, fireworks, and similar materials are not allowed without written approval.

All decorations must be completely removed before checkout.

Candles, open flames, fire pits, grills, and cooking equipment may only be used in approved areas and with prior permission.

Parking and Vendors

Guests and vendors must park only in designated areas and must not block gates, driveways, neighboring properties, emergency access, or animal areas.

Event hosts are responsible for informing all guests and vendors of Arka Acres rules.

Any outside vendors, rental equipment, entertainment, food trucks, or special installations must receive prior approval.

Noise and Conduct

Music and noise must remain at a reasonable level and comply with local requirements.

Guests must behave respectfully and avoid disturbing neighbors, animals, or other people on the property.

The event host is responsible for the behavior and safety of all guests, children, vendors, and contractors attending the event.

Illegal activity, unsafe behavior, fighting, excessive intoxication, or damage to the property may result in the event being ended immediately without a refund.

Security Deposit and Damages

The security deposit will be returned after the property has been inspected and confirmed to be clean, undamaged, and left in good condition.

Charges may be deducted for:

  • Property, furniture, equipment, landscaping, or animal-related damage
  • Missing or misplaced items
  • Excessive cleaning
  • Trash or decorations left behind
  • Stains, spills, or food waste
  • Tables and chairs not returned properly
  • Unauthorized overtime
  • Violations of property rules

The event host is responsible for any costs exceeding the security deposit.

By reserving Arka Acres, the event host accepts responsibility for following these guidelines and ensuring that all guests and vendors follow them.
